FREQUENTLY ASKED QUESTIONS
DO YOU REQUIRE A WEDDING PLANNER?
We do not require a full-service planner but do require at least a day-of coordinator for weddings. Events such as rehearsal dinners, brunches, welcome parties do not require a planner or coordinator, but it is highly recommended.
While your Event Sales Manager is happy to assist in the planning process, they are not responsible for vendor communications, event design, etc. We highly recommend a designated point of contact so you can enjoy your event!

- A dedicated event captain to oversee our team and ensure a seamless experience.
- On-site event coordinator (third-party day-of coordinator required for weddings).

Advanced AV Options
- Access to music speakers or integrated house sound, tailored to your event space.

WHO IS RESPONSIBLE FOR SET-UP AND TEAR-DOWN OF MY DECOR?
We’ll happily assist with your event’s setup and breakdown, but you and your vendors are ultimately responsible for all items not provided by the hotel.
WHAT RESTRICTIONS DO YOU HAVE ON DÉCOR?
While we expect the room will be aglow with the warm light of your love, we allow open flame candles only with glass covers. Please note, we also do not allow any glitter or confetti.
A $1,000+ cleaning fee will be applied to final bill for event cleanup of unapproved decor such as glitter and confetti.
Please send itemized list of decorations you plan on bringing or list of vendors you have hired to your event sales manager.
WHAT PARKING OPTIONS ARE AVAILABLE FOR MY GUESTS?
Valet parking is available for wedding guests at a reduced event rate. A self-parking garage is
located on Brazos Street and there is plenty of paid street parking available in the downtown area.
DO YOU HAVE PREFERRED VENDORS?
We maintain relationships with a host of experienced vendors whom we know will never let you down. You may also use vendors of your choice, though they must be approved in writing by the hotel to ensure we preserve our reputation and high standards. Please note, we require a wedding planner or day-of coordinator to be the point of contact throughout your wedding day.
CAN THE HOTEL PROVIDE AUDIO AND VISUAL EQUIPMENT?
Silly question in the “Live Music Capital of the World” but since you asked… Yes, we partner with the most trusted audio-visual pros in Austin.
CAN I BRING MY OWN FOOD OR ALCOHOL?
As your hosts, we cannot allow outside food and beverage — but we firmly believe you must be free to choose what cake you enjoy on your special day, so we do make exceptions for wedding cakes for a fee.
If you have any preferred alcohol items not included in our beverage packages, please contact your Event Sales Manager and we will do our best to find your favorite beer, wine, or spirit!

DO YOU ACCOMMODATE DIETARY RESTRICTIONS?
We sure do! We accommodate almost all dietary restrictions with advanced notice.
WHEN WILL WE NEED TO PROVIDE OUR FINAL GUEST COUNT AND MENU SELECTIONS?
We ask that you provide us with your final menu selections and any dietary restrictions 21 days out and your final guest count 7 days out, so we can be sure that every detail is perfect.
WHO WILL BE THERE TO MANAGE MY WEDDING DAY?
Your Banquet Manager and Event Captain are dedicated to ensuring every detail of your event is flawless, staying by your side until your special evening concludes. Additionally, your Event Sales Manager will oversee food service, ensuring all entrees are expertly served.
Please note, a professional day-of coordinator (not a family member or friend) is required to manage your event logistics, vendors, setup, and teardown.
The hotel is responsible solely for the services outlined in its scope of execution.

Collaborative Diagramming
A collaborative program that helps you and your Event Manager design professional create customized room diagrams and seating to design the best room layouts for your event. You can make your own edits to diagrams to ensure room setups match your vision.

Hyatt’s proprietary group reservation process with customized links to allow your guests to book online within the group block. It also gives you the ability to view reports through the Hyatt Planner Portal.
